What’s your monthly software bill, and how much of it did you set up?

Two numbers. The first one you can pull from your card statement in a minute. The second one is the uncomfortable one.

Add up the job platform, the books, the estimating tool, the email, the storage, the scheduling thing somebody signed up for last year. For most builders I talk to it lands somewhere between $300 and $900 a month.

Now the second number: of everything those tools can do, how much did anyone actually configure? The automated payment reminders. The change order templates. The draw request workflows. The reports that could tell you which jobs are bleeding.

I can't answer that for you. Some owners have it dialed. But if you winced a little reading that list, you already know which kind of owner you are.

How it gets this way

Nobody buys software planning to use a tenth of it. You bought it during a busy season because the demo looked great and one specific pain was on fire. The onboarding emails arrived while you were on a roof. The setup wizard wanted an hour you didn't have. So the tool went live doing exactly one thing, and it's been doing exactly one thing ever since.

The vendor can't fix this. They can add features, and they do, every quarter. Each new feature is another unconfigured setting in a product you already underuse. They cannot sit in your truck and set it up around how your business actually runs.

Capability shipped and capability configured are different products. You paid for the first. You operate the second.

What I do with that gap

Nearly everything I build for clients lives inside software they were already paying for. The change order confirmations run through their existing email. The payment chasing runs inside the books they already keep. The daily brief compiles from tools that were already watching the business and telling no one.

Which means the usual first step, buy something new and learn it, gets skipped entirely. No new subscription. No migration. No training your crew on an app they'll ignore.

So before you sign up for anything else, run the two numbers. If the gap between them is wide, the cheapest system you'll ever build is the one hiding inside the bill you're already paying.
